# OnboardMe

> OnboardMe is a client onboarding platform for service businesses, built mainly for accountants and bookkeepers. It runs the whole client journey in one place: leads, proposals (engagement letters), client onboarding, identity verification and AML checks, eForms, professional clearance letters, billing, payments and debtor management. It works alongside a business's existing practice management and accounting systems, such as Xero Practice Manager, Xero, FYI, Karbon, MYOB, QuickBooks, GreatSoft and FreeAgent. It does not replace them.

OnboardMe is available in Australia and New Zealand, the United Kingdom, and South Africa. Each region runs on its own instance, and data is hosted onshore. Every plan includes unlimited clients, unlimited users and all features, and there is a 30-day free trial with no credit card required. Businesses use as much or as little of it as they need.

## Core capabilities

- **Leads & Deals**: track prospects before they become clients. Each lead and deal has a status, source and value. Includes table and board views, imports, notes, and website lead forms that feed straight into OnboardMe.
- **Proposals**: personalised proposals and engagement letters with single or multiple packages; fixed, recurring or optional add-on pricing; unlimited signatories; and upfront payment or saved payment details on acceptance. Accepted proposals can create jobs and billing records in the practice management system and flow straight into onboarding.
- **Client onboarding**: onboard one entity or a whole group (companies, trusts, family structures) in a single request. Collects documents, billing details and payment methods, and runs identity verification. New clients are created in the practice management system without double entry.
- **Identity verification & AML**: document validation, face match and liveness detection. Standard AML covers global sanctions and PEP level 1. Extensive AML adds PEP level 4, adverse media and other exclusion lists. Also includes ongoing monitoring, risk-based renewals, a business-wide Know Your Client hub, certificates and compliance reports.
- **Customer Due Diligence (CDD)**: structured CDD checklists for individuals, companies, partnerships and trusts, scored as they are answered. Includes CDD information requests to clients (source of funds and wealth, beneficial owners, authorised representatives) and sign-off by the AML officer. CDD can run standalone or on proposals that include designated services.
- **eForms**: custom branded questionnaires with 13 question types (including multiple choice, file upload, signature, identity verification and repeating groups), conditional questions, prefilled answers, automated reminders, status tracking, and CSV and PDF exports. They can be sent on their own or inside proposals and onboarding.
- **Professional (ethical) clearance**: send clearance letters to a client's previous accountant, request supporting documents, send automatic reminders, and keep a full audit trail.
- **Checklists**: internal onboarding and risk assessment checklists so every step is completed the same way.
- **Bills & payments**: raise bills from accepted work, take card or direct debit payments automatically on the due date, offer payment plans, and give clients a billing portal where they pay and update payment methods. Supports recurring billing, a preferred payment method discount, surcharges, and invoices that sync to Xero, QuickBooks, MYOB Business, GreatSoft or FreeAgent.
- **Debtor management**: aged debtors, collection statuses, staff assignment, promises to pay, email and SMS reminders through workflow rules, payment plans, automated collection on the due date, and full or open-item statements. Imports unpaid invoices from Xero, QuickBooks or MYOB and posts payments back. Free when payments are collected through OnboardMe.
- **Client subscriptions**: track the software subscriptions a business pays for on behalf of clients (e.g. Xero, MYOB, QuickBooks) and recoup them with markup on a recurring schedule. Includes margin reporting and bulk import of vendor billing files.
- **Open API**: a free REST API scoped to one OnboardMe account and region. It covers clients, contacts, leads, deals, proposals, onboarding, eForms, identity verification and bills. Access can be read-only or include write access.

## Pricing (summary)

- Subscription plans are priced by monthly "requests". A proposal, onboarding recipient, eForm, ethical letter or Standard AML check uses 1 request. An Extensive AML check uses 2.
- Australian plans (AUD per month, excluding GST): Starter $59 (30 requests), Pro $99 (70), Expert $149 (120), Ultimate $299 (300), Enterprise $599 (700). Annual billing includes one month free. Prices vary by region; see the pricing page.
- AML screening is included in request usage, with no separate AML fee. Identity verification is charged per verification (A$8 in Australia).
- Payment processing (Australia): BECS direct debit 1% + 30c, capped at $3; Visa and Mastercard 1.70% + 30c; American Express 2.50% + 30c. Card and direct debit collection is not yet available in South Africa.
- Debtor management is free to use with no subscription. Businesses pay only payment processing fees.
- Optional paid setup packages are available, from a single overview call to white-glove onboarding.
